    POSITION SUMMARY:

    Supervise Accounts Payable and Accounts Receivable staff. Maintain Fixed Asset records using FAS software. Accumulate Credit Card Spending, review coding and process in AP software. Prepare and submit State of Maryland billing for various agency Programs. Assist in general ledger account reconciliations. Prepare various journal entries as necessary.

    DUTIES & RESPONSIBILITIES:

    Essential Job Duties:
    • Supervise Accounts Payable and Receivable Staff (2).
    • Oversee Accounts Payable inbox to be sure all invoices are entered into our accounts payable software. Ensure inbox remains current with all items sent for approval.
    • Review accounts payable software for unpaid items. Review task lists for any delinquent items.
    • Process accounts payable payments as needed.
    • Enter fixed asset additions and disposals into our fixed asset software, Calculate monthly depreciation by program level. Prepare monthly journal entry. Reconcile fixed asset software to our general ledger.
    • Access bank credit card reports monthly. Accumulate staff credit card sending reports monthly. Reconcile staff reports to bank reports and review coding for appropriateness. Enter into accounts payable records.
    • Prepare and submit various program billings to the State of Maryland.
    • Compare Contract Services billings to budgeted amounts, researching variances to budget.
    • Review the accounts receivable aging for delinquent amounts. Communicate to customers or internal staff as needed to aid in collections.
    • Download monthly ford credit bill and enter into accounts payable software, send out for approval, and pay online. Receive monthly mortgage and loan statements from creditors and enter into accounts payable system and record payment.
    • Download Exxon/Mobil transactions for vehicle gasoline purchases and summarize by vehicle in excel for entry into accounts payable software.
    • Bill State of Maryland quarterly for various grant funding. Prepare year end grant reporting.
    • Prepare journal entries for general ledger as needed.
    • Complete all agency required trainings for position.
    Non-Essential Job Duties:
    • Perform other duties as assigned by supervisor.

    EDUCATION & EXPERIENCE:

    Bachelor’s degree in Business/Accounting with five years accounting experience required. Good working knowledge of Microsoft Windows, Excel, Word, and Outlook. Experience with Microsoft Dynamics SL, PN3, or FAS is a plus. Good keyboard, ten key, telephone and communication skills. Ability to work independently.
    WORKING CONDITIONS :
    Hybrid work schedule with both remote and office hours.
