Summary

Menn Law, Ltd. is looking for a full-time Receptionist & Client Services Coordinator to provide superior customer service to everyone who contacts us. This is a critical role in our Seymour office that requires a polished professional who enjoys the important responsibilities that come with running the front of our Seymour office and who understands that client satisfaction is our No. 1 priority and knows how to provide it.

Established in 1926, Menn Law Firm is a full-service law firm and currently the largest law firm headquartered in Northeast Wisconsin. Our 31 attorneys operate out of offices in Appleton, Green Bay, Seymour, Chilton, Hortonville, Oconto, and Marinette, Wisconsin. Essential Functions

  • Open office daily, including turning on the lights, making coffee, stocking fridge with plenty of soda/ice/water for the day, reloading paper trays to printers, and checking voicemail messages.
  • Be present at work during regularly scheduled working hours and as needed, consistent with the Firm’s attendance expectations.
  • Receive incoming telephone calls in a professional and timely manner.
  • Act as liaison between office and Firm's Business Manager to resolve building, office supply, and maintenance issues.
  • Welcome and greet all clients and visitors to the office.
  • Interface with everyone who contacts the office, ensuring their communications are handled professionally.
  • Manage and monitor the tracking of all inquiries from clients and vendors and route inquiries to appropriate team members.
  • Maintain client confidence by keeping client/attorney communications and information confidential.
  • Schedule client meetings and appointments.
  • Perform administrative duties such as opening and closing files, and opening mail.
  • Pick up mail from our PO Box at the Post Office and drop off evening mail.
  • Light typing and clerical duties.
  • Other duties as assigned or needed.

Required Knowledge, Skills, and Abilities

  • Superb customer service, communication, and interpersonal skills.
  • Ability to multitask, solve problems, and handle confidential matters with diplomacy and tact.
  • Capacity to display sensitivity and confidentiality at all times with first-class communication skills.
  • Ability to display an enthusiastic, friendly, courteous, and pleasant demeanor.
  • Appropriate interpersonal skills necessary to communicate by telephone and in person with visitors, timekeepers, and staff to provide information with courtesy, tact, and professionalism.
  • Ability to express self effectively and professionally, both verbally and in writing
  • Proficiency with Microsoft Outlook and Word.
  • Ability to engage in high level of interaction with clients and staff to provide a high standard of customer care.
  • Ability to work unsupervised and on own initiative, being proactive in approach to work.

Required Education and Experience

General office experience, telephone skills, PC and keyboard proficiency, verbal communication, internal communications, dependability, professionalism, and solid client relations and interpersonal relationship skills.

Additional Eligibility Qualifications

Experience with TABS, Worldox, Practice Master, and MS Office helpful, but not required.

Physical Demands

This is largely a sedentary role; however, the position would require the ability to lift files and boxes of files up to 50 pounds, open filing cabinets, bend, or stand as necessary.
