Required Qualifications

  • High School diploma/GED and four years of related office experience. Training/education may be substituted for some of the years of experience
  • Experience with Microsoft Suite (Word, Excel) and Google Suite (Gmail, Google Drive, Google Docs, etc.)

Preferred Qualifications

  • Experience managing schedules for multiple staff members
  • Customer service experience

This part-time (50%) position will provide administrative support to the Center's staff to facilitate continued strong relationships with our internal and external partners and to assist in the delivery of program activities.

Job Duties and Responsibilities

35% Administrative Support for Leadership Team
Work with Leadership Team members to schedule meetings and coordinate travel arrangements. Provide other administrative assistance as needed.

30% General Administrative Assistance
Assist staff in purchasing items through the use of a CTS purchasing card, including providing assistance with authorization and justification forms, maintaining necessary records for processing the payments, and reconciling purchases in My Wallet. Respond to and initiate inquiries about purchasing, operations, and calendaring. Provide orientation to new staff regarding purchasing procedures and documentation. Provide other program and project support as needed. Coordinate staff travel arrangements.

30% Meeting and Event Support
Work with staff to schedule program and project meetings with both internal and external participants. These scheduling duties include confirming date, time, and location with participants, collecting RSVPs, and communicating the meeting details. Assist with events and related logistics such as making travel arrangements, reserving rooms and parking, ordering food, and coordinating AV and other equipment needs.

5% Contribute as a team member in the administration of CTS programs
Assist in the design and implementation of Center-wide initiatives and special projects as needed.

Work Location
The Office of the Vice President for Research (OVPR) and the Center for Transportation Studies endorses a “work with flexibility” approach that offers a welcoming and flexible work environment. Work location options include working fully remote, partially remote, or entirely in the office and are based on the work of the position. This position has been designated as eligible for a work Profile 4 (work fully remotely with the exception of required attendance for on-site events); the successful candidate will have the option to be office-based or hybrid if fully remote is not preferred.

Because the University of Minnesota is a land-grant institution that serves the state, the University, in most cases, expects employees to live in Minnesota. A University-configured laptop and software will be provided, but the successful candidate will need to provide their own reliable high-speed internet connection for a fully remote or partially remote work schedule. CTS management retains the right to modify flexible work arrangement agreements on a temporary or permanent basis for any reason at any time.

This position may require the ability to travel within the Twin Cities metro area to support in-person events/meetings. Details regarding work schedule, work location, and other arrangements will be made upon offer of employment and a work schedule will be agreed upon by the employee and their supervisor.

The Center for Transportation Studies (CTS) conducts transportation research, education, and outreach programs in a broad number of areas, including transportation policy and planning, infrastructure engineering, intelligent transportation systems and safety. These activities are carried out through relationships with University faculty, government agencies, and private industry, including an extensive advisory committee structure.
