The South Carolina Judicial Branch (SCJB), invites applications for Mail and Court Services Assistant in the Supreme Court, Office of the Clerk.

The Mail and Court Services Assistant serves as the courier for the Supreme Court by performing postal receiving, processing, transport and distribution functions. Assists Clerk of Court in preparing the courtroom for oral arguments and hearings.

ESSENTIAL DUTIES AND RESPONSIBILITIES OF THE POSITION
This job bulletin represents general duties for this position and is not intended to be construed as exclusive or all-inclusive. Other duties may be required and assigned.

  • Picks up incoming mail from the United States Post Office. With the aid of the Bureau of Protective Services, processing all mail (including the mail delivered to the street address) through the x-ray machine at the Supreme Court Building. Sorts mail and distributes the mail to the appropriate office

  • Delivers mail and other packages between the Supreme Court Building and the Calhoun Building.

  • Processes outgoing mail. Applies the appropriate postage using the mail machine and preparing any necessary registered or certified mail, and may involve large bulk mailings, especially by the Office of Bar Admission. Delivers the outgoing mail to the United States Post Office. If outgoing mail is being sent by FedEx, UPS or other commercial service, may be called upon to deliver the letter or package to a pickup location. As necessary, coordinates with the Chief Deputy Clerk to obtain additional postage for the postage machine.

  • Processes, affixes date stamps and scans delivered mail for uploading into the appropriate Case Managers' folder via desktop scanner, copier and computer.

  • Assists the Clerk of Court in preparing the courtroom for oral arguments and hearings, including making sure that the gavel, pitchers with water and ice, and cups are in the courtroom. In addition, serves the members of Court with refreshments during the oral arguments or hearing. In the event the Court attends a function at which their robes will be worn, may be called upon to transport the robes to and from that location.

  • As needed, may be called upon to pick up or deliver documents, supplies or other items.

  • In the absence of the Receptionist, serves as the primary alternate receptionists for the Supreme Court. Receives all incoming telephone calls to the main number of the Supreme Court, and ensures that those calls are forwarded to the appropriate person or office. Takes messages for Supreme Court personnel that are not available to take a call.

  • Responsible for handling of confidential documents for the purpose of shredding. Oversees and performs the destruction of confidential documents in accordance of Clerk's Office safety and security standards.

  • All other duties as assigned.

  • High School diploma.
  • Must have a valid driver's license and dependable motor vehicle transportation to transport mail and other materials.
  • Must be able to lift and move files and/or boxes weighing up to 40 pounds.
REQUIRED KNOWLEDGE, SKILLS, ABILITIES AND OTHER CHARACTERISTICS

Knowledge of:

  • The United States Postal Service regulations, policies, and practices;
  • The various types of mail and the proper handling of each type;
  • HIPAA guidelines relative to sensitive document handling and destruction.

Skills:

  • Proficiency in the use of modern office technology including, but not limited to, Microsoft Office Suite (e.g. Outlook, Word, Excel and PowerPoint), scanners, paper shredder, fax machines, microfilm, postage machines and copiers;
  • Skilled in operation of a motor vehicle.

Ability to:

  • Understand and comply with all ethical requirements applicable to court employees;
  • Maintain confidentiality regarding all non-public information related to the case, including internal communications; Communicate effectively, both orally and in writing;
  • Work courteously and effectively with judicial staff members and the general public;
  • Maintain effective working relationships.
