WHO WE ARE: Established locally in 1911, Volunteers of America Northern California & Northern Nevada (VOA NCNN) is one of the region's largest providers of social services. PROGRAM AND LOCATION: VOA is currently recruiting an Intake/Support Staff Supervisor for the El Dorado Navigation Center team in Placerville, CA. In partnership with El Dorado County, this 60-bed shelter will provide a safe place for adults struggling with homelessness as well as case management and housing assistance, with the goal of moving our guests out of homelessness and into independent living. Full-time employees are eligible for a benefits package that includes paid holidays, vacation, health, dental, vision, life, and short-term disability insurance coverage.
POSITION SUMMARY: The Intake/Support Staff Supervisor will recruit and train Support Staff and provide oversight to improve employee performance. This position is also responsible for developing a team environment to move clients from shelter to housing. The position also facilitates, monitors, and organizes intake assessments using the Coordinated Entry process to determine guest eligibility in meeting the program's minimum requirements, prospective guests' registration process, and the coordination of moving guests into the program.
OBJECTIVES/ACTIVITIES:
A. In conjunction with the Shelter Director, supervise, train, and develop staff.
1.Provide department orientation, supervising, scheduling, and training for employees as required to assure quality work outcomes.
2. Secure Director approval for exceptions to staffing standards and staffing issues.
3. Serve as part of the program development team by providing information and support for developing quality operations.
4. Maintain an above-average working knowledge of fire, safety, and health standards to ensure a safe work environment for clients and all personnel.
B. Facilitate, monitor, and organize intake assessments using the Coordinated Entry process to determine guest eligibility in meeting the program’s minimum requirements, prospective guests' registration process, and the coordination of moving guests into the program.
1. Complete all shelter intakes according to HMIS standards.
2. Enter all guests into HMIS.
3. Complete VI-SPDAT for guests, as needed
4. Orient guests on shelter policies, rules, rights, and responsibilities.
5. Coordinates assessment of personal supplies and space for guests, pets, and storage.
6. Maintain positive interactions with guests, staff, and partner agencies.
7. Develop an ongoing interview schedule and process for daily intakes of new guests.
C. Responsible for performing daily work requirements to achieve established objectives of the department.
1.Schedule and supervise support staff to maintain acceptable performance standards of all required work duties.
2. Provide oversight of staff performing maintenance duties/tasks.
3. Ensure that guest living conditions are safe and in good order.
4. Ensure shift coverage and maintain grounds security at all times.
5. Provide emergency assistance to clients and co-workers as necessary.
6. Respond to all client questions and concerns.
7. Assist with donation collections and distribution to clients as needed.
D. Responsible for assistance with client development.
1. Support the Shelter Director and Case Managers in implementing plans to assist the clients in pursuing permanent housing, education, and employment.
2. Facilitate groups/classes if needed for clients.
3. Role model, positive behavior to help clients as they work towards self-sufficiency.
E. Responsible for all areas of daily program maintenance in compliance with company policies.
1. Document and report all client concerns and/or infractions that can impact the program’s security. Notify Case Management where applicable.
2. Maintain and complete all shift logs, observation logs, and incident reports.
3. Monitor program equipment and supplies inventory and take appropriate action to replace or restock as needed.
4. Secure Shelter Director approval for exceptions to standard policy.
5. Notify the Shelter Director of potential workflow problems and resource needs necessary to attain performance standards.
6. Communicate with service providers and external county/state/city program representatives as required.
7. Review and approve employee time records as needed.
8. Direct available resources as required.
9. Provide other documentation as required by the funding source and/or VOA.
10. Perform other reasonably related duties as assigned.
Responsible for self-development.
1. Continually learn and enhance technical and interpersonal skills.
2. Attend staff meetings/assigned training seminars and complete required certifications, i.e. CPR, First Aid, etc.
SUPERVISION EXERCISED: This position will supervise the team of 12 Support Staff.
EDUCATION AND EXPERIENCE: A High school degree is required. Prior supervision experience is required. Advanced education is preferred. This position requires demonstrated ability to communicate, comprehend, and follow through on oral and written instructions and to provide services to clients without ethnic or social prejudices. It requires general knowledge of issues and challenges unique to homelessness, substance abuse, young adults, minorities, and persons with disabilities. Specific knowledge of the Twelve Step philosophy, addiction and recovery, and dysfunctional family dynamics is preferred. Must have the flexibility to work irregular hours. Basic computer skills required, including knowledge of Word, Excel, Outlook, Google Docs, and Google e-mail applications. Requires CPR and First Aid training within ninety (90) days of employment, re-certification as necessary and T.B. testing annually. Requires a valid California driver’s license and the ability to meet the organization’s insurance carrier guidelines. Must undergo a criminal background check.
