Under limited supervision, administrates the MBS Metabolic and Bariatric Surgery Committee for CT Children's Weight Management's Center of Excellence. Assists in program development, managing the accreditation process, ensuring compliance with MBSAQIP standards, maintaining pathways and protocols, patient education, monitoring outcomes data and collection, quality improvement initiatives and education of relevant staff. Supports the development of written protocols and education of nursing staff detailing the rapid communication and basic response to critical patient finds that are specifically required to prevent adverse effects. Serves as a liaison between the facility and all metabolic and bariatric proceduralists and any general surgeons providing call coverage. In addition, have day-to-day operations responsibilities of the division ensuring efficiency, productivity and operational maintenance of the division. It requires maintaining solid working relationships with a variety of providers, clinical team members and staff throughout the division/location, and at multiple satellite locations.

Quality and Patient Safety
 Ensures risk management policies are being followed.
 Collaborates with Director to maintain knowledge of key division quality metrics and goals. Ensures staff is educated and adheres to compliance standards, regulations, programs and practices. 
Ensure quality and safety issues are addressed in a timely manner in partnership with Director or Manager, Quality Improvement, Legal, and Human Resources, and appropriate corrective actions are implemented in a timely manner and in accordance with defined recommendations.

Operations and Finance
 Responsible for all clinical scheduling including review of clinical schedules on a daily basis to ensure overall efficiency productivity, and operational oversight of scheduling operations
 Supervise administrative operations and staff
 Responsible for collaborating with Management to identify potential process improvements and workflow changes to achieve budget and other operational metrics such as referrals, callbacks, DMS board
 Monitors referral work queues and oversees resources responsible for managing referrals. 
Assists front end operations as needed during periods of staff vacancies. 
Fulfill case abstraction duties, complete ongoing training and recertification requirements, retrieve and enter long-term follow-up data on all patients, and fulfill requests for outcomes data and reports from the MBS Committee and other appropriate personnel.

Compliance:
 Maintain knowledge of CCSG and CCMC policies and procedures and ensure that staff and the service line/alignment overall is in compliance.
 Ensure service line/alignment complies with all contractual obligations in collaboration with Director/Manager.
 Attend at least two required meetings, one of which must be the annual comprehensive review meeting and provides documentation of meeting minutes.

 Educate the patients and families on the operational policies and procedures for the practice.
 Address customer complaints to ensure timely and satisfactory resolution for the patient. Engages with Director/Manager regarding patient experience and works to resolve patient and family issues when needed.

Practice Coordination
1. Principal Duties and Responsibilities: (in coordination with the Practice Manager)
a) Responsible for the day-to-day operations of the division/location that contributes to the enhancement and promotion of a high Patient Family Experience. This includes but is not limited to: staff training, staff schedules, patient relations issues, and other issues that arise in the clinic.
b) Oversight of the day to day operations of managed care related activities which include ensuring timely responses to our billing group, authorization capture and insurance verification.
c) Responsible for dissemination of relevant departmental and hospital information.
d) Maintains and updates website in coordination with Corporate Communication
e) Responsible for scheduling and coordinating monthly staff meetings as well as taking meeting minutes. Prepare and present information at meetings as assigned by the Practice Manager and ensure staff is compiling information needed for the meeting.
f) Ensure appropriate coverage for faculty time away (i.e. conferences and vacations).
g) Monitor and calculate monthly individual physician office and surgical based productivity and generate report.
h) Surgical scheduling as well as trouble-shooting billing issues for providers and staff.
i) Practices and ensures commitment to quality and safety in all areas including DMS, huddles, handwashing and other initiatives in collaboration with the Practice Manager.

2. Human Resource Responsibilities (in coordination with the Practice Manager):
a) Provides input with regard to Human Resources activities within the division including areas of recruiting, hiring, orienting, training, disciplining, performance evaluation, goal-setting, and assists with resolving non-complex employee relations issues. Comply with all applicable CT Children's policies and procedures.
b) Delegate duties to others in the department based on skills and workload.
c) Conduct staff meetings to keep employees informed.
d) Authorizes and monitors vacation requests, changes in work or lunch schedules, arranging for coverage as necessary.
e) Determine when and if role changes are necessary, make recommendations to the Medical Director and Practice Manager and implement approved changes as appropriate.

3. Other General Responsibilities (in coordination with the Practice Manager):
a) Responds to requests for changes that will improve practice conditions for physicians either by implementing such changes or by discussing them with the Medical Director as applicable.
b) Participates in projects as assigned by leadership, maintains flexibility regarding workload and the needs of the service.
c) Bases decisions and actions on understanding the perspective of others; is a role model to others in service standards.
d) Interacts professionally with fellow employees and other ancillary departments
e) Maintains good communication with and reports problems to Medical Director, Practice Manager and Director of Clinical Operations.

4. Office Management
a) Maintain office equipment, and supplies.
b) Coordinates office maintenance and repairs.
c) Manage and monitor office assignments.

5. Other duties as assigned.

Supervisory Responsibilities:

No direct reports, only oversight.

Requirements:

Licensed Practical Nursing Degree from an accredited school of nursing or college.

At least 1 year of progressively responsible experience in service line management, practice operations management, and/or academic department management

5 years of experience in a hospital/medical office
