Position Overview

Information in this statement is NOT intended to be all-encompassing or to address all responsibilities of the position. The Illinois State Police is accepting applications for an Office Associate to assist the Zone 7 Southern Command. This position performs a variety of complex, specialized clerical functions consisting of typing, record processing and general office duties. Uses steps, processes and/or methods requiring application of agency policies and procedures and exercises initiative and judgment in distinguishing among variables and identifying applicable standards; applies knowledge of legal terminology to be included in various correspondence and legal documents.

Job Responsibilities

1. Utilizes a personal computer and typewriter to prepare and type complex, highly specialized records and reports from rough draft form, including a variety of correspondence, charts and memorandum.
  • Creates and revises formats, alternate formats and defaults, changes edit options and creates column layouts
  • Exercises understanding of legal terms and proofreads and types investigative correspondence for accuracy and clarification
  • Prepares other legal documents as required


2. Transcribes previously recorded dictation from a variety of sources.
  • Enters and retrieves information into computer files from investigative and specialized reports including all ISP reporting systems
  • Types repetitive materials and makes format changes in previously automated material
  • Utilizes a programmed format, completes divisional forms required for investigative files
  • Designs in-depth forms implemented by the zone from rough draft and/or oral instruction
  • Composes and types routine non-technical communications
  • Proofreads and edits typed material for grammar, punctuation, spelling and formal suitability


3. Prepares and maintains complex, highly specialized and confidential investigative records and reports.
  • Distributes investigative case records, employing judgment in applying current policies, rules and procedures.


4. Operates computer terminals with LEADS 2000 and Open Query functions.
  • Obtains investigative case numbers and arrest numbers, makes ISP indices and file inquiry checks, utilizes Open Query daily as a timekeeping tool and to monitor personnel activities of sworn officers
  • Retrieves data on suspects, both in-state and out-of-state, for use in criminal prosecution by running criminal history checks, all which are highly confidential.


5. Functions as office receptionist, receives telephone calls and other communications directed to staff.
  • Provides assistance to other agencies and law enforcement entities by answering and clarifying policy and procedures


6. Reads and distributes incoming correspondence
  • Reviews outgoing correspondence to ensure accuracy and compliance with ISP policy
  • Receives and sends electronic mail through the ISP electronic mail system


7. Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

1. Requires knowledge, skill and mental development equivalent of completion of high school and two (2) years office experience.
2. Requires the ability to accurately type 45 words per minute.

Preferred Qualifcations

1. Prefers a minimum of two (2) years experience of office practices, procedures and programs.
2. Prefers a minimum of two (2) years experience of composition, grammar, spelling and punctuation.
3.Prefers a minimum of two (2) years experience of basic mathematics.
4. Prefers a minimum of two (2) years experience of the logic of computer programs.
5. Prefers ability to follow oral or written instructions.
6. Prefers ability to operate commonly used manual and automated office equipment and perform routine maintenance.
